Responsible for coordinating and managing the company’s shipping, receiving, import/export and logistics activities to ensure the timely, accurate and compliant movement of goods by sea, air and land. The role involves preparing shipping documentation, coordinating with carriers and customs authorities, tracking shipments, resolving logistics issues, and maintaining accurate shipment and cost records.
Key Responsibilities:
- Coordinate and arrange the transportation of goods by sea, air and land freight, including dispatches, deliveries and collections.
- Prepare, process and maintain shipping and logistics documentation, including pick lists, bills of lading, shipping orders, invoices, work orders, customs declarations and certificates of origin.
- Ensure all shipping and receiving activities comply with company procedures, Bruneian customs requirements, applicable laws, regulations and international trade standards.
- Liaise with shipping lines, airlines, freight forwarders, trucking companies, customs officials, carriers and vendors to coordinate shipments and ensure smooth clearance and delivery.
- Provide shipping instructions to carriers and arrange appropriate transportation based on delivery requirements.
- Track shipments and provide timely status updates to clients and internal stakeholders.
- Record and maintain accurate shipment information, including weights, freight charges, delivery status, damages and other relevant shipment data.
- Maintain daily shipping and receiving logs, shipment records, cost records and relevant client or vendor communications.
- Coordinate import and export activities, including customs clearance and supporting documentation.
- Prepare quotations and invoices for clients and assist with monitoring and controlling freight-related costs.
- Negotiate freight rates where required and maintain effective working relationships with carriers, freight forwarders and other logistics vendors.
- Investigate and resolve shipment-related issues, including delays, damages, shortages, discrepancies and non-conformance to specifications, and escalate significant issues as appropriate.
- Document and escalate customer service issues, shipping errors and receiving discrepancies to the relevant personnel.
- Coordinate with warehouse personnel to support receiving, dispatch, storage and inventory-related activities as required.
- Complete and submit relevant health, safety and incident reports, and ensure shipping and receiving activities are conducted in accordance with applicable HSE requirements.
- Assist in the training and onboarding of new employees on relevant shipping, receiving and logistics procedures.
- Develop and maintain constructive working relationships with colleagues, clients, suppliers and cross-functional teams.
- Perform other logistics, shipping, receiving and administrative duties as assigned by management
