Scope of work
A Tender Coordinator scores the submission of business proposals, managing all aspects from preparation to delivery. Responsibilities incorporate analyzing tender documents, coordinating teams, and ensuring compliance with bidding regulations. Setting clear objectives and deadlines for each task. Monitoring the progress of tasks and offering support when needed. Identifying and resolving any roadblocks or issues that may hinder progress. Providing regular updates to stakeholders and team members.
Responsibilities: -
Monitor relevant platforms for new tender opportunities, and analyze tender documents to assess scope, requirements and submission deadlines.
Coordinate with HOD to evaluate feasibility and decide whether to pursue a tender.
Compile and organize all required documentation, including technical, financial and legal documents. Ensure compliance with tender requirements and formats.
Liaise with cross-functional teams (HR, Finance, Logistic) to gather necessary input.
Gather the quotations from outside supplier. Communicate with HOD for the mark up price. For restaurant, communicate with restaurant manager.
Perform final checks before submission. Scan the document and save it in the folder for our future reference. Keep records of all submissions in tender main file tracker excel.
Submit the tender document before the closing date as per tender instructions
Communicate with clients or tendering authorities, including submitting queries and receiving responses. Relay important updated or changes to HOD.
To follow up the Tender authorities regarding the submitted Tenders.
Coordinate with the Client and Operation team to submit the invoices and related support documents.
